Administrative Assistant

Position Summary 

The Administrative Assistant is often the first point of phone contact at Congregation Dorshei Tzedek, and plays a critical role in presenting a friendly and professional face for the organization. Responsible for a range of administrative and IT back-up tasks, the ideal candidate must possess a keen attention to detail, a customer service approach/strong interpersonal skills, take initiative, and have superb organization, prioritization and time management skills. The Administrative Assistant provides support to our senior staff and congregants, and ensures the efficient and smooth day-to-day operation of our office and Sunday school. This position provides an excellent learning and growth opportunity and visibility into the workings of a small and dynamic religious congregation. 

What You'll Do (note – our office is currently open, but due to COVID, some of these responsibilities may be different or not applicable while religious services and Sunday school are virtual)

  • Manage congregation phone, voicemail, calendar and email list 
  • Help design and implement new web pages, online forms, internal e-publications, external publicity communications 
  • Help maintain member database, update website and social media content with data entry 
  • Order supplies and maintain office organization for Sunday school, office, and sanctuary 
  • Coordinate congregation-wide virtual and (post-covid) in-person event logistics including set-up and clean up 
  • Perform various administrative tasks, including emailing, scanning, filing, copying, mailings, routine correspondence

Desired Skills and Experience 

  • Extremely organized, detail-orientated, flexible, able to multitask, happy to take direction and jump into the work (which from time to time will include more mundane tasks essential to day-to-day business) 
  • Motivated self-starter, someone who sweats the small stuff and works well both under direction and also on their own initiative, depending on what is required 
  • Privy to sensitive information – therefore, professional, trustworthy and able to maintain absolute confidentiality 
  • Ability and experience managing workflow of daily and longer-term tasks 
  • Exemplary communications skills, both written and verbal 
  • Knowledge of Google WorkSpace, groups.io, InDesign, Zoom, social media platforms, basic web design 
  • Poised, welcoming, and personable while interacting with a diverse population, including individuals with special needs 
  • Understanding of and a willingness to contribute to our mission and vision 
  • Ability to work occasional evening meetings, perform occasional heavy lifting, and have a valid driving license 
  • Associates or Bachelor’s degree preferred 
  • Background in social justice and/or Reconstructionist Judaism preferred but not required
